This hands-on workshop brings together two small teams to tackle real process challenges using design thinking and collaborative AI tools. Starting from problem statements captured on digital whiteboards or post-it notes, each team reframes its challenge into a “How Might We” question, ideates multiple solutions, and drafts a “To-Be” process. With the support of facilitators and the guidance of a team captain, participants then prototype their ideas using Agentic AI frameworks. The session concludes with team demos, feedback, and reflections—turning raw problems into tangible prototypes in just one day.
Set-up
- Two teams of maximum 4 members: a Captain and 3 team members. The captain will act as the decision-maker and spokesperson in the team
- A facilitator will be allocated to each team
- A moderator will lead the entire workshop
- A proper brief stating the problem / business flow to be fixed / optimized will be shared with each Captain
Prerequisites
Process & Challenges
- At least 2–3 real processes or pain points identified in advance
- A current-state overview of these processes
- Clear problem framing: which process levels are in-scope
- Brief to be shared with the Captains prior to the workshop. Each Captain can receive a different or the same brief (recommended different briefs).
Tools & Infrastructure
- Access to an AI collaborative framework.
- A shared collaboration board: preferable digital whiteboards.
- Laptops for each participant with internet access (or shared devices per team).
- A large screen/projector for team demos.
- Synthetic data for the processes
Agenda
- Welcome & Framing – 20 min
- Goals: from problems → prototypes in 1 day.
- Design thinking mindset (empathy, iteration, collaboration).
- Tools: digital whiteboard, process mapping templates, AI prototyping tool.
- Briefs are shared with the Captains
- Assessment of the brief – 20 min
- The Captain will present the brief to all the other team members
- Problem capture – 45 min
- Everyone writes problems they’ve observed on digital whiteboard on digital post-its (1 per probem).
- Post-its go up on a shared board.
- Facilitators help cluster digital post-its into themes.
- Teams choose different themes to work on, usually based on the number of “pains” identified as part of a specific “team” (Team A → Theme 1, Team B → Theme 2).
- Brainstorming and ideation – 60 min
- Each team identify solutions to address the “pain”
- Each team member will rate the identified solutions.
- The higher rated solution will be selected
- To-be process drafting – 60 min
- Identify the “As is” vs “To be” steps
- Draft the “To be” process
- Identify the actors involved in the process
- Identify tech and business dependencies
- AI prototyping – 60 min
- Each team will use chat GPT, Grok or any other LLM system to create the prompt / specifications for Agentic AI System
- Using Agentic AI System, the team will prototype the “to be” solution
- Share back & feedback – 60 min
- Each Captain shares the brief, the “as is” process, the pains and the solutions identified with the broad audience
- The prototype is presented to the broad audience
- Feedback from the broad audience
